Does automation require AI?

Direct answer

No. Many business processes follow predictable rules and can be automated without AI. AI is useful when software needs to understand language, interpret documents, classify unstructured information, or draft text. If the rules are already known, ordinary workflow automation is usually faster, cheaper, and more reliable.

Most operational work is already a set of rules

If a request arrives, a record should be created. If a deal is won, a project should be opened. If an invoice is approved, accounting should be updated. These are deterministic steps: IF this happens, THEN do that.

Using a language model for those steps adds cost and uncertainty to work that should be exact. The CRM either updates or it does not. There is nothing to interpret.

AI becomes useful when the input is messy

AI helps when the process starts with something unstructured: a free-text email, a PDF that is never formatted the same way, a support request that could mean several things, or a long document that needs a summary.

In those cases, AI can extract, classify, draft, or flag. The surrounding workflow — routing, storing, notifying, and recording — should still be ordinary automation.

The practical rule

Automate before you AI. Build the process so information moves to the right place. Then add AI only where interpretation creates extra value. That is how SMEs get reliable systems instead of fragile demos.
